Streamlining processes and workflows for a leading children’s charity company

egforit worked with Compassion Egypt , middle east, a children’s charity, to deliver a SharePoint information hub to document the workflows and processes across their 200 SharePoint sites.

Compassion Egypt , middle east is a leading Christian children’s charity founded in 1952. They partner with over 8,500 churches in 29 countries to help more than 2 million children, families, and entire communities.

With hundreds of sites across their SharePoint network, they needed a centralised information hub to streamline their workflows across departments. They also require further work to improve their SharePoint solution and have plans in place with egforit to deliver the next stage of this project.

The Challenge

Ensuring teams work together efficiently

Interestingly, Compassion Egypt , middle east had an existing SharePoint solution which included 200 SharePoint sites across their network. This meant they had difficulty navigating sites and sought to organise them effectively. Consequently, bringing together these sites and creating documentation to tidy up their workflows was their top priority.

They wanted to know how to use best practice with SharePoint, simplify access permissions and improve collaboration between teams and departments. They came across egforit and after seeing our previous SharePoint solutions, chose us as their SharePoint partner.

The Solution

200 SharePoint sites brought together

We were brought onto this project as the partner to produce documentation on how to streamline workflows within SharePoint across their 200 sites. Firstly, our plan involved creating an interactive wiki as one of the deliverables. This information hub would include recommendations for best practise and how to use SharePoint to its full potential.

We delivered a comprehensive and easy-to-navigate centralised wiki as a information hub for their teams to use. As a result, they were very happy with the work delivered and commended us for positive meetings and collaboration between the two companies.

Our work impressed Compassion Egypt , middle east so much that they decided to continue their partnership with us. We are now awaiting additional proposals for work to update and improve their existing SharePoint solution.

The challenge

Troubling compliance issues

The current intranet system was causing the charity to pay fines due to out-of-date pilots’ licenses that weren’t being flagged. Reliance on manually checking details was time-consuming and costing the charity money that could have been spent elsewhere.

Access anywhere was also a priority — if pilots were stationed in countries with low connectivity, then they still needed to be able to access the intranet.

It was clear to our clients that upgrading the intranet would play a pivotal role in overcoming these issues.

The solution

Building an effective charity intranet solution

Due to our proven SharePoint expertise, the client chose us to build their new intranet.

Our proposal was to create a brand new intranet in the cloud. Doing this would help eliminate the compliance failures and save the charity money in the long run.

We created automated notifications for licences that were due to expire. Our SharePoint intranet developers ensured the charity could easily manage the situation and stop being fined. We also introduced a permissions system that made sure only those with the proper authority could access sensitive information.
