In today’s rapidly evolving business landscape, effective collaboration and communication are more critical than ever for organisations striving to maintain a competitive edge. Finding a solution that centralises communication, simplifies project management, and seamlessly integrates with existing workflows is essential to ensuring employee engagement and maximising efficiency. Microsoft Teams offers a robust and versatile platform designed to address these challenges. As part of the Microsoft 365 suite, it combines chat, video conferencing, file sharing, and integration with other Microsoft applications and third-party platforms, equipping organisations with the resources needed to drive productivity and foster a cohesive work environment.

We will delve into the platform’s key features and capabilities and discuss the benefits of implementation for your organisation. Furthermore, we will provide practical tips and best practices for adopting and utilising Microsoft Teams to create a collaborative, efficient, and engaged workplace.

Boosting Employee Collaboration and Efficiency with Microsoft Teams: Key Features

Microsoft Teams offers a wealth of features designed to enhance collaboration, communication, and productivity within organisations. Let’s explore some of its most notable features:

1. Chat and Virtual Meetings

At the heart of Microsoft Teams is its chat functionality, which allows for both one-on-one and group messaging. Users can easily converse with colleagues, share files, and collaborate on documents within the platform. Beyond simple chat, it also supports virtual meetings, enabling users to host or join audio and video conferences with features like screen sharing, recording, and live captions. These capabilities ensure that organisations can efficiently communicate and collaborate, regardless of location.

2. Channels and Teams Management

Microsoft Teams enables users to create and manage teams and channels, providing a structured environment for project collaboration. Users can create channels within a team for specific topics or workstreams, allowing members to focus on relevant discussions and tasks. It also supports customisable team and channel management settings, including member permissions, guest access, and privacy settings, ensuring that organisations can tailor the platform to their unique needs.

3. File Sharing and Collaboration

Teams makes it easy for users to share and collaborate on files within the platform, eliminating the need for time-consuming email attachments or disjointed file storage solutions. Users can upload and share files within chats, channels, or teams, with the added benefit of seamless integration with Microsoft 365 applications, including Word, Excel, and PowerPoint. This integration allows users to co-edit documents in real-time directly within Teams, ensuring a smooth and efficient collaboration experience.

4. Integration with Microsoft 365 and Third-Party Platforms

As a core component of the Microsoft 365 suite, Microsoft Teams is designed to integrate effortlessly with other Microsoft applications such as SharePoint, OneDrive, and Planner. This integration ensures organisations can continue using their preferred Microsoft tools within the Teams environment, promoting a consistent and familiar user experience. In addition, it supports integration with a wide range of third-party platforms and tools, allowing organisations to adapt and expand their collaboration ecosystem as needed.

Benefits of Adopting Microsoft Teams

Incorporating Microsoft Teams into your organisation can deliver numerous benefits that directly contribute to improved collaboration, communication, and productivity:

  • Enhanced Communication: It provides a centralised platform for messaging, virtual meetings, and file-sharing, streamlining communication and reducing the need for time-consuming emails and disjointed tools.
  • Streamlined Project Management: The structured approach to teams and channels ensures that employees can focus on relevant tasks, collaborate effectively, and stay up-to-date on project progress.
  • Seamless Integration: Seamless integration with Microsoft 365 applications and third-party platforms means organisations can continue using their preferred tools, promoting a consistent and efficient user experience.

Best Practices for Implementing and Utilising Microsoft Teams

To ensure a successful deployment of Teams within your organisation and maximise its benefits, consider the following best practices:

  1. Define Clear Goals and Objectives: Establish clear goals and objectives for the platform that align with your organisation’s specific needs and strategies. This clarity will help inform deployment decisions, user training, and ongoing management.
  2. Develop a Structured Teams and Channels Framework: Create a well-organised structure for teams and channels, including defined roles and responsibilities for administrators and managers. This organisation will ensure employees can easily navigate and engage with the platform, promoting efficient collaboration.
  3. Train Users on Microsoft Teams Features and Functions: Develop comprehensive training programmes to educate employees on the features and functions of Microsoft Teams, ensuring they understand the platform’s capabilities and potential. Investing in user education will help accelerate the adoption of Teams across your organisation and drive success.
  4. Monitor and Adjust Your Teams Implementation: Continuously monitor the usage and performance, gathering feedback and analysing data to evaluate the platform’s effectiveness. Regularly assess the structure, functionality, and integration choices, making any necessary adjustments to optimise its potential and ensure it continues to meet your organisation’s evolving needs.

Microsoft Teams features a library of useful apps by Microsoft and other external services. Teams custom apps such as chatbots, message extensions, and tabs are just a few of the helpful add-ons that users can now take advantage of. Microsoft allows for these apps to work natively across Outlook and Microsoft 365 for seamless features across different products. A personal app will enable usage for one-to-one communication, while a shared app allows several users to share app space to collaborate.

Creating a custom app built specifically for your network and department’s needs will bring greater benefits for Teams users. These are a few reasons why you should consider building a Microsoft Teams custom app.

Cross-platform

As mentioned above, your custom Teams app can extend to Outlook and Microsoft 365 from a single codebase. Cross-platform functionality ensures a smooth user experience without having to leave the context of their current process to use the custom app.

Merged business processes

Custom apps can be made according to your teams’ needs and business requirements. Additional functionality such as working on project timelines, submitting help desk requests, and sharing CRM data will massively improve productivity in Teams, Outlook, and MS365 apps.

Chatbot helpers

Creating a personal conversational bot allows for easy tasks set up between the bot and the user. Bots can automate and simplify processes with simple instruction and a flowchart of actions. A perfect example of this would be in IT and HR departments.

Connected systems

Custom apps allow Teams apps to connect together information and data from other systems, letting users discuss and take additional actions. Without having to switch between apps and systems, teams can get the right information from other sources and share directly within Teams.

Social interactions

As a social interaction platform, a custom app that enhances collaboration and communication can greatly extend Teams features. Therefore, apps can be created to enhance sharing capabilities, connect calendars, send polls, and more.

With the current challenges to our economic climate and the move to flexibility in work patterns, companies are looking for innovative solutions to new situations. Microsoft is investing heavily into modern digital tools to supplant legacy ways of working. AI-powered technology shows promising results to enhance team collaboration, working productivity and to change our fundamental attitudes to work processes.

The advent of Microsoft Teams Premium, available now, brings to the table a host of new AI-powered collaboration tools to organisations. We take a look at some of the new features that are available now or are being made live this year.

Intelligent recap

Teams is introducing an intelligent recap feature which allows participants to save time when reviewing meeting recordings. With the help of AI, meetings will be divided into chapters to assist in viewing the most relevant content. This is now available for PowerPoint Live meeting recordings. The tool can also automatically generate chapters based on the meeting transcript.

Later this year, the AI tool will pick out key points and takeaways after the meeting with automatically created note. Follow-up actions will also be recommended automatically.

AI-powered live translation

Live captions has been a wonderful accessibility tool for those that wants to read captions in real-time. Now, Microsoft Teams Premium brings along AI-powered real-time translations for 40 spoken languages. This allows companies to save money on expensive translation services by introducing this in-application tool. Amazingly, only the meeting organiser needs to have Microsoft Teams Premium for all participants to enjoy the new feature.

Advanced security

Finally, security has been a hot topic and high priority for Microsoft when developing Teams Premium. With enhanced meeting protection safeguards now in place, organisers can be confident in secure meetings for sensitive discussions. Organisers can now add a watermarks over video feeds and screen shares to deter leaks and limit recording permissions. Significantly, IT-enabled users will be able to apply end-to-end encryption which disables core meeting features for absolute security.

Microsoft has introduced a host of new features to boost productivity, security, and collaboration on their widely used Teams app. We couldn’t list every change here but check out their official announcement to learn more.

Business Intelligence software is now essential for enterprises and growing businesses alike, but what if you are not getting the results you need? Before you despair, ask this: what if IBM Cognos Analytics could provide the inspiration needed to drive your business? It has centralised, easy-to-use Business Intelligence dashboards that cut through data quickly. This gives your business the ability to reflect and forecast, providing a basis for well-informed and confident decisions. So it seems we have an answer: IBM Cognos Analytics.

'What if' IBM Cognos Analytics

Business Intelligence software is now mandatory for organisations wanting to enjoy strategic and profitable growth. BI is the only way to support and sustain lean and agile operating systems.

However, company growth doesn’t just come from better efficiency. Successful organisations have a vision. They also have the confidence to innovate and take well-planned risks. Does that mean business inspiration relies on the best data analytics tools as well?

BI and ‘Out Of The Box’ Thinking

IBM Cognos Analytics is a great launch pad for business discussions and thinking that includes a “What if…?” Businesses that thrive on innovation are constantly looking for new product or service ideas, as well as new markets to pursue. In that case, the last thing you need is an ocean of information to navigate – or a complicated piece of software with whistles and bells.

When inspiration is one of your driving business needs, having a centralised, easy-to-use business dashboard helps cut through data quickly. For example, you can use IBM Cognos to design and create your own intuitive BI dashboard. Configure it to provide the sort of autonomous and simple-to-access analytics that are your specific “food for thought”.

Be warned though: not all BI offerings have this “self-service” flexibility and versatility.

Team Inspiration and Collaboration

Inspired and inspirational companies know the importance of unlocking the creativity and motivation of their team. Some of your potentially profitable “What if…?” leads may come from anywhere in your organisation. Your teams need a tool that is readily available to explore and share ideas. That’s another reason why choosing the right BI system is crucial.

For example, IBM Cognos Analytics provides quick access to information via its drag and drop dashboard, that any user can navigate on any device. They can hop on for either enterprise-wide reporting or “dip in” to specific areas of interest or concern.

As it’s web- or cloud-based, users can then report, share, and collaborate on their ideas instantly. So “What if” IBM Cognos Analytics could deliver this and more? You need never miss a good idea again!

For Data You Didn’t Know You Needed

You can hit a brick wall in your innovation. Creativity can dry up. This is another time when data analytics can become your “new best friend”. For example, IBM Cognos Analytics is particularly adept at drilling down into data and uncovering information your organisation may have previously missed. In fact, you could end up with insights you didn’t even realise you needed!

Having access to these hidden depths and angles can make a big difference in well-informed and confident decisions. And for answering the question, “What if….?”

‘What If’ IBM Cognos Analytics Has the Answers You Need?

Second in egforit’s Business Process Automation article series, we take a look at some of the specific ways you can boost performance and reduce costs of internal processes.

What processes can I automate?

Internal business processes

In our last article we asked the question “what is Business Process Automation (BPA)?” and looked at some of the reasons why it’s good for business.

The benefits to your bottom line are clear: reduced costs, improved efficiency, business insights and more.

So that’s the ‘why’ taken care of. Now let’s take a look at ‘where’ and ‘how’ you can make improvements to your internal processes and communication through automation:

Enhanced Collaboration

Project and team collaboration through file sharing, live document editing and task organisation.

Without Automation

Post-its and notes

Imagine a sea of emails that can be missed, ignored or lacking a cc to forgotten team members. Piles of post-its, paper notes and documents easily misplaced, misfiled or in illegible hand-writing. Documents stored physically or locally on desks or computers where no one else can see them or contribute. File sharing means handing papers around, links to online elements that have moved or changed, or attaching a file that disappears into an over-filled ‘downloads’ folder. In a word: chaos.

With Automation

Imagine a project document that exists in a single digital location, where team members can join in with live, online editing sessions. File editing and sharing takes place within the same application, preventing duplications or losses, and user accounts for department teams makes it easy to include team members and follow project and document updates.

Sound good? Then you’re imagining a company intranet – an internal user-friendly system that can be accessed through a local company network and can be the default login page for your employees – SharePoint is a good example of this. Cloud services, extranets and bespoke portals also facilitate external access for your teams or partners, with authorisation features to control security.

Reduced Manual Errors & Inefficiency

Processes and tasks completed manually, subject to human assessment.

Manual data entry

Without Automation

The modern world runs on technology and data. Viewing, transferring, analysing and processing that data manually can result in information being skipped, mis-read or incorrectly entered. A mis-typed spreadsheet line can cause late payments, incorrect resource ordering or inaccurate data for reports or analytics. Task are completed only as fast as the human employee is capable of – worse if the process is paper-based, requiring hand-written signatures or notes. Finally, consider the vulnerability of a paper-based system in the event of an unforeseen event, such as an office fire or break-in – however unlikely that may seem.

With Automation

Imagine data processing at the push of a button – or better still, as a scheduled routine task that requires occasional monitoring but nothing more. Data is transferred instantly directly from its source, meaning no chance for mistakes in entry and vastly increased process speeds. You can search and analyse your data with digital tools and generate reports without having to write a single spreadsheet. With all data and files stored digitally, it can be securely backed up on the cloud. The reduced paper consumption and strain on IT resources minimizes costs, and increased speed and accuracy boosts overall performance.

Sound familiar? There are a few different elements for improvement: platforms like MuleSoft®’s Anypoint Platform™ facilitate fast data ingestion across multiple systems and applications. Bespoke APIs (Application Programming Interface) communicate between applications and systems to share data rather than searching/transferring it manually, reporting and search tools make easy work of sourcing information from custom data warehouses.

Streamlined Communication & Approvals

Approval requests, project deadline management and communication between teams and partners.

Without Automation

Approval requests

Have you ever had to send an approval request email multiple times until it’s seen? Ever seen papers requiring signatures sitting in desk inboxes while the recipient might not even be in the office that day? Are you plagued with messages checking up on a project or document’s status, and constantly having to check over calendars and spreadsheets to remind yourself of due dates and deadlines?

With Automation

Imagine a unified digital workflow, with approval authorisation tied to specific users, notifications for upcoming deadlines, and live documents with status updates in realtime. Systems that differentiate approval requests from the sea of other emails/spam in your digital inbox and most importantly, not a shred of paper required. Not just faster, but also much cheaper.

There are numerous digital workflow tools and systems available on the market today, with the option for bespoke development to cater for your specific business needs.

When should I get started?

In this technological age, there’s no reason that your internal business processes can’t be a flawless, well-oiled digital machine and there’s no reason not to get started right away.

Knowing where to start is the first step, and egforit can help with that. You need someone on board to assess your systems and processes and identify pertinent areas for potential improvement.

Are you experiencing any of the issues or scenarios above? It might be time to give egforit a call…
