It made no sense for them to invest in an entirely separate software, so wanted a solution build directly into SharePoint – a tool they use daily to ensure easy access and little onboarding time.

The Solution

Our developers worked on a small scale bespoke development project in order to build the client their ideal CRM. It was fully integrated with their SharePoint framework and customer SharePoint pages to help the client display all the information. Their new features include company diaries with the ability to store documents, company/contact search functionality, checks for duplicated data, and the ability to export all this data into a CSV.

At the end of the project we checked in with our clients to see what benefits they’d seen already. They reported improvements in their customer relationships., due to the added mail merge functionality that enabled customers to stay compliant with any new legislations introduced by the government.

The challenge

Data warehouse performance was hindering BI

At the time of this project, our client’s business intelligence team worked with data from an on-premises data warehouse. While the data warehouse was set up correctly, it simply didn’t have the capacity to handle the client’s data volumes. As a result, the data warehouse was not providing the data needed for business intelligence in a timely manner.

 

First of all, this delay in BI data affected the company’s own financial reporting capability. The company’s management did not have access to the up-to-date financial insights they needed to steer the business effectively.

 

Secondly, the poor data warehouse performance also affected a BI service that the company provided for its customers. This meant that the BI platform, which customers used to track their subscription sales, was not meeting customers’ expectations. And this resulted in customers calling our client’s BI team for IT support, which added to the team’s workload.

 

Finally, the company had plans to onboard new customers — but expanding the data warehouse was prohibitively expensive. It was clear that a high-performing and scalable alternative was required.

 

Overall, the drawbacks of this poorly performing BI data warehouse were:

 

  • decreased ability to produce timely financial reports
  • reduced customer satisfaction from BI services
  • increased time spent on customer service calls
  • lack of scalability needed to take on new customers

The solution

Cloud-based BI data warehouse integration

Based on our reputation as integration experts, the company contacted egforit Software to solve its data warehouse issues. Our in-depth analysis pointed to two potential solutions:

 

  1. Migrating the data warehouse and BI software to a scalable cloud platform
  2. Carrying out a performance tune-up on the on-premises data warehouse

 

Because the data warehouse’s problem was scale rather than configuration, we did not expect a tune-up to make much improvement. For this reason, and because staying on-premises would not solve the scalability issue, we recommended moving to the cloud.

 

The client accepted our proposal to migrate the data warehouse to Microsoft Azure, a highly scalable and cost-effective platform. Following this we achieved SAP BusinessObjects data integration with the data warehouse, bringing the whole BI system into the cloud.

The Challenge

Needing to get shipshape

 

At the time of contacting us, the port was using SharePoint 2007 as its central document repository. This platform hosted the port’s key workflows and its organisation-wide intranet. However, the platform was several versions out of date. Issues around performance, functionality, and support had led the port to consider migrating to a modern SharePoint platform.

 

Furthermore, the port’s efficiency was also hampered by disparate teams using siloed file shares. It was clear that a SharePoint migration seemed like an opportunity to bring those teams onto a transparent central platform.

 

Importantly, the need for change was clear. However, lacking the internal expertise, the port first needed guidance on how to proceed for best results.

The Solution

Pre-migration analysis and findings

 

Initially, the port approached egforit Software to benefit from our experience with similar SharePoint migration projects. It was agreed that our consultants would carry out an initial discovery phase to assess the port’s existing content.

 

This phase consisted of four main elements: a content audit, analysis, report creation, and migration planning.

 

In the content audit, the port’s SharePoint sites were arranged into a thorough inventory with a variety of auditing tools. This provided data for analysis, including internal collating, assumption testing, and planning. This in turn informed a detailed document on the existing platform and the migration options available, along with their costs and benefits. Finally, there came the migration planning stage, which took the form of on-site workshops with the port’s stakeholders and IT teams.

 

As a result of this process, the port’s IT team found itself in a position to perform its long-awaited SharePoint migration. Without the need for further external support, the port followed our detailed recommendations to successfully migrate 10 site collections containing around 600GB of content.

As any migration expert will tell you, migrating content is the simplest part of the operation. What requires expertise is the auditing, analysis, and planning. And without the clarity provided by this stage, the migration will not be satisfactory.

 

In the port’s case, the careful pre-migration planning resulted in a modern platform that exceeded users’ expectations. By ensuring all the new features worked flawlessly, the port was able to make SharePoint users’ platform of choice. This resulted in information silos being broken down and increased efficiency across teams.
