We used Power Automate to develop complex workflows to modernise a management consultancy’s processes within SharePoint.

They are employed for business and performance improvement, management changes, and to encourage growth. They were looking to build upon their existing SharePoint solution with the use of automated workflows and advanced SharePoint capabilities. They engaged egforit to deliver a bespoke solution and share SharePoint knowledge. 

We started working with egforit when our ‘inhouse’ SP skills reached their limits, egforit have helped us deliver tasks that have improved the overall efficiency of our systems, freeing up time from admin chores that enable us to support our own ISO 9001 management system.

The Challenge

Unsure of how to start

Ley Hill Solutions had been aware of the extended capabilities of SharePoint and wanted to upgrade their existing SharePoint solution to ‘unlock’ its true potential. Most importantly, they wanted to create workflows within SharePoint to revolutionise and streamline their processes. They had one major issue; they did not know where or how to start, but they knew it was not a simple task.

 

Ley Hill Solutions had team members that were familiar with key SharePoint concepts and were quick to understand the technology of data sets, arrays, variables and so on. They had prior knowledge of SharePoint as they had been using it in their daily work processes, though they had not come across Power Automate previously.

The Solution

New workflows to manage projects and clients

We used Microsoft Power Automate’s workflow orchestration to streamline their processes and increase productivity using SharePoint. The flows that we created together with their teams are triggered from leads converting into clients and then automatically creating a new project. If the client already exists within their system, a new project is added instead.

 

We offered over-the-shoulder consulting to build this solution together with the client, with the side goal of building the client’s knowledge of the software stack and Power Automate.

 

Furthermore, we worked with them to integrate these solutions with their existing timesheet and expense logging capabilities. This enabled more accurate logging and easier work organising with project codes.

 

In addition to the SharePoint and Power Automate development services, our specialists organised follow-up learning sessions as part of our added value to the client. We guided their teams on using the new SharePoint workflows and built their knowledge to become self-sufficient. For the client’s team that were not confident in using SharePoint, we also offered training on basic usage such as SharePoint team management and document library usage.

The Results

Revolutionised processes

The new SharePoint workflow capabilities has streamlined processes for their project management purposes. Our knowledge building sessions were particularly beneficial to help their team in understanding and assessing the technical aspects of Power Automate.

 

With the low-code nature of Power Automate, the client’s teams quickly learned to modify the initial workflows we had set up for them. Plus, the drag-and-drop features meant that it was easy for all team members to take advantage of the new workflow system.

 

Due to the high quality of our work and positive results, the client is continuing with additional requests for our SharePoint team to further improve their SharePoint solution. One request has been to create SharePoint dashboards to report and present data to power their business decisions moving forward.

The client is based in Kent and provides local authorities and global commercial clients with debt collection and civil enforcement services. They needed assistance moving their legacy on-premise infrastructure to the cloud. Our support team created a new SharePoint system to store all their files, backup, emails, TCP, and virus scanner. Helping them work easily anywhere, and everywhere.

The Challenge

An outdated business system

After reviewing their current set up, it was agreed that an overhaul of their existing infrastructure was needed. The retirement of old on-premises servers, deployment of cloud-based infrastructure and new network to function alongside was essential. They were looking for a cloud based solution as they wanted all of their office workers to be able to work effectively from home.

The Solution

Modernisation and innovation

To bring them into the age of cloud computing, we deployed a new SharePoint site to host all their internal documents, which they collaborate and work together on. We also created a place for their work allocation reports and other essential documents.

 

We deployed a fleet of laptops to all their office-based employees, which were encrypted and protected with antivirus backups.

 

Then, we deployed a new network and internet connection which would allow VPN access, giving the whole team the power to collaborate and connect online.

The Results

SharePoint modernisation

Employees were able to finally work from home with ease, file sharing was easier (And more secure). VPN connection in the office enables easier access, security, and communication.

The challenge

Application downtime and low scalability

At the time of this project, egforit Software was providing ongoing technical support for the company’s vehicle management application. This software was used to manage over 500 contractors serving 150 automotive clients on a daily basis.

 

But the Java-based application, hosted on IBM SoftLayer, was experiencing difficulties with downtime and lack of scalability. With the vehicle valeting business growing rapidly, the company saw these technical issues as a barrier to onboarding new clients.

 

The issues with SoftLayer hosting were as follows:

 

  • any code changes required bringing down the whole app, meaning changes were not possible during business hours
  • we also had to bring the app down to meet changing demands in performance, CPU, memory, and hard disk space

 

These factors made SoftLayer an unsuitable choice for the company, which wanted the application to flex and adapt quickly. Having identified these issues, our support team set about presenting a more effective solution.

The solution

Achieving SoftLayer to Azure migration

Based on our Azure cloud expertise, our support team recommended that the company migrate the application to Azure App Service. Microsoft’s increased support for Java on Azure in recent years gave us plenty of options for migration.

 

A major advantage of Azure App Service was the ability to deploy new code with zero downtime, during business hours. We achieved this through Azure deployment slots. These slots allow us to deploy to a copy of the live application and then swap the two environments seamlessly. In this way the new code goes live and nobody sees any disruption.

 

A second reason to choose Azure was the ability to scale each component of the application individually. This meant we could flex to meet demand quickly, without having to bring the whole application down.

The benefits

Full uptime and room to grow

Only days after the SoftLayer to Azure migration, we successfully scaled up the application’s hosting capacity without disrupting business hours. This has given the company the freedom to take on as many new clients and contractors as it desires.

 

On top of the benefits mentioned, moving to Azure App Service also provides intuitive Application Insights for our support team. Rather than having to trawl through log files to find issues, we can see them faster in visualisations and alerts. That extra speed on our side provides the company with better value from the support hours they purchase from us.

 

Overall, the decision to migrate from SoftLayer to Azure has brought increased app performance and reduced hosting costs.

The challenge

Legacy software was costing the business

Having served dozens of NHS trusts and universities, our client is highly respected in its field. However, it was clear that the company’s back-office software was hindering further growth. Our client’s existing training management software had three interfaces:

 

  • a cloud-based MySQL database, managed by the company’s IT administrator
  • an iOS app, used by trainers to record attendance and attendee signatures
  • an on-premises ASP.NET Web App, for back-office staff to input course data

 

Hosting the web app on-premises required costly and time-consuming maintenance by the company’s IT staff. The web app was also running on .NET 4.0, a version that Microsoft stopped supporting in 2016. This meant the framework was no longer receiving security patches or updates, which left it vulnerable to attack.

 

And our analysis of user security features threw up another issue: the encryption model was flawed. Instead of modern one-way encryption, the code used two-way encryption. This would have allowed an attacker to reverse engineer a user’s password using the code and the database.

 

And the final problem with this outdated code was lack of compatibility. The code needed updating before it could integrate with software such as Excel and SAP Crystal Reports.

 

In summary, the drawbacks of this legacy training management system were:

 

  • high cost of software ownership due to on-premises hosting
  • risk of security breaches caused by flawed and unsupported code
  • difficulty integrating the application with today’s business software

The solution

Upgrading and extending functionality

Based on our reputation as high-value software developers, the company approached us to upgrade their training administration software. This consisted of rebuilding the iOS app and the API that it used to communicate with the company’s back-end systems.

 

We then provided ongoing support to fix bugs in the company’s legacy code, and add new functionality as needed. These customisations included UX improvements and new fields for business users. A more significant upgrade that we delivered was a feature that enabled customers to book multiple dates at once.

The benefits

Secure and flexible training software

This solution combined a number of improvements, from the app upgrade to bug fixes and feature enhancements. Our app and API upgrades ensured that the company was protected against attacks on its sensitive data.

 

Overall, the business benefits of this new training management software were:

 

  • providing compliance and security against cyber threats
  • overcoming the limitations of a legacy application
  • giving the flexibility to extend functionality as needed

 

Going forward, the next stage is to migrate the company’s training management system to the cloud. As Microsoft Azure cloud experts, we have planned the migration and will be assisting the client with this move in the coming months.
